Roles, permissions and lead access

What each role can do, who sees which leads — and how to change it.

Three things decide what a user sees: the role (what they may do), lead access (which leads they see) and the team.

Steps

  1. 01

    Roles in plain words

    • Admin — runs the company account: people, teams, settings, campaigns, commissions, all leads.
    • Sales manager — sees all sales data, manages leads and routing; no company settings.
    • Team lead — the team's leads and performance, incl. delete and export.
    • Agent — works their assigned leads; can only request deletion.
    • Viewer — can look, can't change anything.
  2. 02

    Lead access

    Edit user → Lead access:

    • Only leads assigned to me (reps' default).
    • My team's leads.
    • My teams and sub-teams (team leads' default).
    • All company leads (managers).
Note: A rep on "only assigned to me" never sees unassigned leads.
  3. 03

    Edit a user

Users → Edit details: personal details (phone required), System role, Team, Lead access, and Can receive leads.

  4. 04

    Someone left? Disable, don't delete

Disable user: can't sign in, frees a seat, leads and history are kept. Reassign their leads.

Tip: Show their leads lists everything assigned to them.

Questions

A user can't see a lead they need.

Check who it's assigned to, which team, and the user's lead access.

How does a user see their permissions?

Personal settings → Role — a read-only permission table.
