Paid booking with SUMIT and ManyChat

A customer pays on a SUMIT payment page, and your bot automatically sends them a personal link to book a meeting.

How it works: your ManyChat bot sends the customer a link to a SUMIT payment page. After a successful payment, SUMIT notifies CloseUp. CloseUp finds or creates the lead, opens a personal booking link for it, and the bot sends that link to the customer.

Before you start

  • Permission to manage company settings in CloseUp.
  • A SUMIT payment page for the meeting product.
  • A ManyChat account with a live bot.
  • Hosts should connect Google Calendar or Outlook. A customer assigned to a host without a connected calendar cannot book.

Step 1: Create the event type

  1. Open Scheduling
    Open the Control panel and choose Scheduling.
  2. Create an event type
    Click New event type. Fill in the name, duration, location (video, phone or in person), availability and required fields.
  3. Set up assignment
    Under Campaign for new leads, choose the campaign new customers belong to, and pick a default host for leads without an agent.
  4. Save
    Click Save. On the first save, CloseUp creates the payment provider URL.

Step 2: Connect SUMIT

The payment provider URL is a secret. It tells CloseUp a payment is real, and anyone who has it can open booking links. Do not share it, put it in the bot or on the payment thank-you page, or include it in screenshots. If it leaks, click Replace the URL and paste the new one into SUMIT.
  1. Copy the URL
    In the event type editor, open Payment provider and click Copy URL. You can also copy it from the event types list, in the copy menu: Payment provider URL (webhook).
  2. Mark it for SUMIT
    Add &provider=sumit to the end of the copied URL. Add it only to the URL you configure in SUMIT.
  3. Create a SUMIT trigger
    In SUMIT, set up a trigger on payment card creation, restricted to the meeting product and successful charges only. In the view the trigger uses, include the payment's external identifier field. Send the card as JSON and paste the URL into the trigger.
  4. Pass the contact ID in the payment link
    The payment link your bot sends must include the externalidentifier parameter with the value closeup-wa: followed by ManyChat's Contact ID variable. SUMIT stores the value on the payment and sends it back to CloseUp.
The externalidentifier value is the ManyChat contact ID, not a CloseUp lead ID. A payment with no identifier, or with more than one, does not create a lead or open a booking link.

Step 3: Send the link in the bot

In the event type editor, open Send the link in the bot (ManyChat). Setup is one-time:

  1. Connect ManyChat
    In ManyChat, go to Settings → API → Generate your API Key, and paste the key into CloseUp. Keep this key private too.
  2. Create a field for the link
    In ManyChat, go to Settings → Fields → New User Field, choose type Text, and use exactly the name CloseUp shows (default: closeup_booking_url). Use Copy field name to copy it.
  3. Build the message
    Build a ManyChat flow with a message that includes the field from the previous step, and paste its ID into CloseUp. The ID is the part of the flow URL that starts with content.
  4. Check that it is ready
    When setup is complete, CloseUp confirms that the link is sent in the bot after every payment.

If the flow that delivers the link branches by channel, the bot must set the closeup_booking_channel field to whatsapp before it sends the payment link.

Step 4: After booking (optional)

In the After booking section you can turn on:

  • Save a summary on the lead and meeting: contact details, form answers, appointment time, host and payment confirmation are saved to the lead's notes and the meeting notes. Manual links are marked as unverified payments.
  • A confirmation message: create a separate text field in ManyChat (default: closeup_booking_confirmation) and a separate flow that shows it, then enter them in ManyChat confirmation message field and Booking confirmation Flow ID (optional). The message includes the appointment name and time and is sent only after the booking is saved. WhatsApp messaging-window rules still apply.
  • Follow up after one hour without WhatsApp bot progress: if a WhatsApp bot conversation stalls for an hour, CloseUp creates a task for the agent and a note on the lead. Completing the conversation or booking closes the task. This needs a linked campaign, and the bot must report the start, progress and completion of the conversation. See WhatsApp via ManyChat.

Test end to end

Before you give the payment link to customers, run a real test payment: SUMIT payment → booking link in the bot → pick a slot → summary on the lead and confirmation message. Check that the SUMIT view includes the external identifier and that the bot sends the link.

Customer paid another way? In the event types list, open the copy menu, choose Personal link for a lead… and create a one-time link for them.
