If you read only one guide, read this one. It ties every tool into one working day.
Steps
- 01
Morning: open Leads, start with the urgent ones
LeadsClick Leads. The list uses smart sort by default — urgent at the top.
Watch the thin coloured stripe on each row:- Light blue — fresh lead.
- Amber/orange — nearing response time.
- Red — at risk of losing it. Handle it now.
Tip: The Active chip hides parked and closed leads, so you only see what needs work. - 02
Open a lead and read "What to do now"
Click a lead. The lead card opens in the centre:
- What to know — who the customer is and what matters to them (AI summarises it).
- What to do now — the next goal and What to say: a ready opening line with a Copy button.
You should see: Before you pick up the phone, you already know what to say. - 03
Call, WhatsApp or email
Lead card›CallCall, WhatsApp and Email are on the card; the one AI recommends is highlighted.
If a phone system is connected, the call is logged automatically — with a recording and summary. - 04
After the call: update status and add a note
- Click the status circle by the lead's name and pick the new stage (e.g. In progress or Proposal sent).
- In Tasks & notes, write a line about what was agreed — Ctrl+Enter saves.
Tip: Customer asked you to call back? Click Reminder and pick a time. The lead hides and comes back exactly on time. - 05
Midday: go through your tasks
TasksClick Tasks. The top shows how many are overdue, due today, and what's next up. Tick each task you finish.
- 06
Evening: wrap up the day
On Leads, click the trophy Today's summary: leads handled, calls (outgoing and incoming) and average talk time.
You should see: Day done — and no customer forgotten.
Questions
How will I know a new lead arrived while I'm elsewhere?
A pop-up appears: "New lead in list: ..." with Open. You can also turn on phone alerts — see Phone & desktop alerts.
I only see some of the company's leads. Is that right?
Yes. Most reps only see leads assigned to them. Your admin sets the access level.
